The assistant
AI
AI is the assistant built into every app. It reads your own records, not the internet. It drafts, sorts and reminds, and it asks before anything reaches a client or your money.

What it is for
AI takes the busywork. Ask it about your business in plain words and get a straight answer from your own records. Ask it to add a task or draft an email. It answers questions about Scale Suite from our help and legal pages.
What it does best
It drafts and waits. AI writes the follow up, the reply or the first version of a document, and leaves it for you to read. Nothing reaches a client or your money until you say so.
Common tasks
Ask a question
- Tap the spark button at the top of any screen to open Ask AI.
- Ask something like "How is cash looking?" or "Who should I call today?"
- Check the answer. AI can make mistakes.
Add a task or draft an email
- Say "add a to do to call Dana tomorrow" and it goes to Tasks.
- Say "draft a follow up to Tom" and choose Open draft in Mail. You read it and send it yourself.
Decide what AI may do on its own
- Go to Settings, AI. Every rule that lets it act on its own is off until you turn it on, like answering new leads.
- Choose which apps it may read.
- Anything that moves money needs your OK and a limit you set.
Teach it your voice
- Go to Settings, AI, Your voice, and choose Start.
- Reply to ten real situations in your own words. It learns your tone, length and sign off.
Make it forget something
- Go to Settings, AI, Memory.
- Type what it should forget, like a client name, and choose Forget. You can undo while you are still on the page.
It asks before it acts
Before AI sends, spends, shares, deletes or signs anything, it shows you what it wants to do on an approval card, and nothing happens until you approve. Text and images AI made are labeled as AI generated so you always know what to check.
Who can see what
AI only shows what your role allows, and the server checks this on every request, not the AI model. Payroll, salaries and contractor pay, and bank balances are owner only. Admins and Members can look up invoices. Anyone signed in can ask AI to add a task or draft an email.
Your content, training and support access
- Memory. AI keeps short notes, like a client preferring afternoons, so it can help. See, edit, export and delete every note in Settings, AI, Memory.
- AI training is off by default. Your business content is used to train or improve AI only if you turn on the AI training opt-in. You can turn it off any time, and each choice is recorded with the date. Our AI providers are not allowed to train their models on your content.
- Support access is off by default. The account owner can let Scale support read the account and AI settings for 1 hour, 24 hours or 7 days, read only, with every grant and visit logged. Support never sees your Mail, Drive, Docs or Sign content, or AI memory.

Today and at launch
Works today
- Ask AI: questions, tasks, email drafts and invoice lookups for your role.
- Approval cards: before AI sends, spends, shares, deletes or signs anything, it shows you a card and waits for Approve or Decline. In the preview an approved action stays inside Scale Suite.
- AI-generated labels on answers, drafts, summaries, Chat catch up and Video notes.
- The AI training opt-in (off by default) and the support access switch in Settings, AI, with every choice logged.
- Memory, Forget and your voice settings.
At launch
- Approved emails, texts and payments actually going out, once Mail sending, texting and Pay are live.
- Rules that let AI act on its own, once the apps they use are live.
Limits
AI does not give legal, tax, financial or medical advice. A person must review any decision about hiring, credit, housing, insurance or health. You are responsible for messages and actions you approve. See the Terms, section 8.
How it connects
AI works in every app: drafts in Mail, tasks in Tasks, follow ups in Contacts, invoices in Money, categories in Books, call notes in Video and pages in Sites.
